Is there any way to set an end date in GP so that when an invoice is entered we can not set the date for a date more then 1 year out? We are having issues with dates being set for example 08-26-2121. We would like to have a rule that invoice dates can not be enter if outside a specified range.

    Hi Rosemary,

    A regular GP user wouldn't be able to open PSTL.. unless someone granted them either the POWERUSER role or specifically setup a role where you can access the resources of the PSTL objects in GP

    In the screenshot above taken from GPPT security analysis, you can see that only POWERUSER (green) assigned users can get to the PSTL window. The SUPERUSER role is a custom role created by GPPT when installed, but being in red means that the current user doesn't have access to it, as the Dummy user has no GP security assigned yet. 

    The DEFAULTUSER is only the profile for Alternate/Modified Forms & Reports and usually you don't have that for PSTL, so it's irrelevant in this case. 

    Unauthorized users who try to open PSTL would get this message:

    'Deployed on all GP clients', when the PSTL is installed on the users machine what kind of security is there to prevent them from clicking and unticking.

    Hi Joseph stated it, the PSTL has this functionality built-in.. it is simply a check-box that you enable. However, you have to make sure that the PSTL add-on is deployed on all GP clients in order for that to work.. it doesn't work if you have it just installed on the Server side and check the box.

    Another to know is that even with PSTL Date Verify enabled, users will get a pop-up when a date entered falls outside of an open range, and asked if they want to change it, but there is nothing that can prevent them to enter a date in a closed period in the end... not without a customization (like David suggested with GPPT).

    Entering a date outside of an open period or even in a Calendar FY that doesn't exist yet is always possible.. but you'll run into issues when it comes to post those documents with an incorrect date..

    If you want to enforce a rule that is not based on Fiscal periods, use GP Power Tools to add some business logic with a trigger.

    I  Didn't know PSTL have this functionality. Nice information. :)

    I few yeas back similar kind of customization where use needed to block dates of specific period of time.

    Are the fiscal periods closed for these future dates? A prompt will come up saying something like "a fiscal period for this date has not been set up" or "the fiscal period for this date is closed" --  something like that.

    Are the users just acknowledging the prompt and continuing on?

    In the PSTL, there is a tool called Doc Date Verify. Once you turn it on, if a user enters a date where there isn't a fiscal period set up yet, it won't allow them to continue until they enter a valid date.

    If it needs to be where the date can't be more than one year out, that would be a customization to GP.
