Phase in, phase out of an item

Hello

I am using AX 2012 R2 CU8

I have a question with respect to phase in and out of an item.  I have a situation where I am producing a product.  One of the ingredients need to be replaced (phased out) by a new, similar, ingredient (phased in).  I want AX to handle this properly, hence

  • consume the phasing out item until it is available in stock
  • create new purchase request for the phasing in item
  • automatically switch to consume the phasing in item as soon as the phasing out item available stock is consumed

I did manage to create a setup that works well in this scenario but the issue I have is that my setup works well when the relationship between the phasing in/out items is of type 1:1 (consumption 1 kg of phasing out item is replaced by consuming a 1 kg of the phasing in item).  I cannot create a setup that automatically switches to the phasing in item when the replacement is not 1:1

I did consider to use the effective dates / create new BOM versions but this is all managed manually and not by AX.

Hope I managed to express myself well.  All thoughts are welcomed

    Are you using BOM items or Formula Items?  I only ask because you said ingredients.  

    If you are using a Formula, Plan Group / Priority fields on the formula can accomplish this for you.  You'll need some type of process to block purchasing the phase out item once you have depleted inventory, we use the stopped flag on the DOS for the item.   Also note that you could end up with one batch order that has requirements for both ingredients on it, when you physically run out of the phase out item.

    If you are using a BOM, I've always managed this through effectivity dates on the BOM Lines, and a planner managing the depletion of phase out inventory.    I agree this is a manual process and error prone.

    I am using formula lines and the fields Plan Group and Priority to manage the phase in / out of ingredients.  However as mentioned, I only managed to phase in /out on a 1:1 basis.  Hence an ingredient can only be replaced by a different ingredient in the same consumption quantity.  In my case, I do have situations when the replacing item needs to be consumed in a different quantity then the phasing out item.

    Can I ask you whether you handled this with standard Dynamics AX? and if so, can you please share some setup?

    Yes, using standard AX.  The other ingredients in the plan group can have their own usage factors / per series values.  Does that not work?  Are you using potency / batch balancing too?  I have not done this with those variables in the mix.

    I just realised that I missed out a detail in my explanation.  You are right in stating that the other ingredients in the plan group can have their own usage factors / per series values.  Therefore the system should suggest the right dosages for the phasing in / out ingredients.

    The issue is that if I do set this up (i.e. the phasing in has its usage factors / per series values as well as the phasing out with its own usage factors / per series values) my cost accountant is having an additional cost of the phasing in item included in the cost rollup

    How are you handling this?

    Agreed, the costing side is problematic.  I'm not handling this at the moment.

    The issue here is the handover from old item to new.

    Maybe you can do it all at once.

    Create a new Bom Version with the new item and activate it.

    Transfer the stock of the old item to the new by using a inventory moment journal. Use a special batch code on the new item to keep track of it and voila. When the old batch/old item is consumed a new batch takes over.

    This will keep in line the unit issue, costing issue and tracking.

    Liked your thought but, if I am understanding well your suggestion, it does not address the need to have the system automatically switch to the new batch number as well as having the new batch being consumed using a different ratio.  

    For example :

    Phasing out item is consuming 1kg for every unit produced

    Phasing in item needs to consume 1.2kg for every unit produced - I need to manually change the formula to set AX to consume 1.2kg as soon as the batches of the new phasing item are used in production orders.

    In cases where you have to use more of an item that is less potent. Could you just mark your inventory physically with a tag that sais: Use 120% for new revision or have the Batch number identify this in some way? Use it as a note in the Route or something?

    Hi Fredrik!

    Thanks for sharing - we are trying to automate this as much as possible.  Did get in touch with Microsoft on this issue and in this particular case, AX does not have a solution.  Therefore, it is either a customisation or some manual procedure that we are considering.
