I really need your help!
Issue: When a particular form has been filled out, I want to take the data from that form and send the information to a person in my client's administration department (1 e-mail address)
How do I achieve this with a Customer Journey?
My current solution: I feel like I have tried everything OOB and ended up mapping the custom form field to a new field (hidden), so that when it contains data it triggers a Power Automate Flow that collects the information from the Contact. This works fine, however, I feel like this should be possible OOB.

Your current solution is the optimal one.
Or you can try to create an on-demand workflow targeting at Contact entity which can be inserted into a customer journey.
The preceding steps are the same as your solution, which also maps the submission field to a field in your contact entity.
