Fixed Asset Number

while updating packing slip for the fixed asset purchase order

Account Payable-->purchase order --> Packing slip form

Getting this error:

Cannot create a record in Fixed Assets (AssetTable). Fixed asset number: ........... The record already exists.

I can see in the AssetTable that the row is present with same AssetID for a old asset record ( 2 years back), how come system is looking for number, what might be the reason and how to resolve it ?

    Hi Kamalpurbia,

Please check f the number sequence used for asset(s) is setup as 'continuous'. If so, disable it on this number sequence.

Otherwise someone can have changed the setting that causes this problem?

    RE: Fixed Asset Number

thanks for reply, I did below:

General Ledger =>Setup => Fixed Assets => Fixed Asset Groups => Unchecked (Autonumber fixed assets)

Then I try to post packing slip, I got below error:

Number sequence for the reference Fixed asset number in parameters in the General ledger module has not been setup.

    RE: Fixed Asset Number

    Hi Kamalpurbia,

I did not mean to disable the automatic numbering of the assets. If you open the form Fixed asset groups, you can select the asset group. Then right click on the field Number sequence. Choose the option 'View details' or  'Go to main table' (The name of the menu item depends if you are using AX2012 or prior versions).

The number sequence form will be opened. Search within this number sequence for the field 'Continuous'. If it is enabled, AX will try to reuse not used numbers. Due to some unexpected handling or wrong customizations the list of unused numbers can be wrong.

So if this is enabled, uncheck it.

If it is already disabled, check the field 'Next' which indicates the next number to use if this is still correct.

Thank you for the information on unchecking the continuous check box.  Once I did this I could see that the system allowed for the next number.  Once a new record is created, can I then re check the continuous box?  Will the next number list be reset so or should I run the manual clean up as an additional step?

    RE: Fixed Asset Number

    Hi Dax user,

Can you indicate if your application issues a number '0' when the number sequence is set to continuous? My opinion is that Asset numbers do not require to have the continuous setting enabled, so the best would be to have it turned off for Assets.

    RE: Fixed Asset Number

    Hello,

After unchecking the continuous box and creating a new fixed asset record the application issued the correct next number.  After rechecking the continuous box and creating a new fixed asset record, the system also assigned the correct next check number.

    RE: Fixed Asset Number

    Hello,

One last question.  Can you tell me if this behavior is considered a bug related to number sequences?  The bug being defined as the number sequence attempting to reuse a number that has already been used on a record.  My experience has been that the manual or auto clean up does not resolve the issue of used numbers being found on the status list.

Let me know and thank you for your input.

    RE: Fixed Asset Number

    HI,

Due to e.g. import of records or other rare situations like power failure some records might be incomplete and you can have issues like this.

As I think you should not enable continuous for fixed assets itself and I don't know how you did get this issue, I can't tell if it is a bug in my opinion or not.

I have seen issues with number sequences in the past with prior versions that were for sure a bug and they are now solved.

If you have a reproducable scenario where you use AX without customizations on this part, please provide the steps how to reproduce it. Then I can tell you my opinion about it.
