Sharepoint integration

Hello,

We're thinking about implementing the Sharepoint integration between CE and Sharepoint. The organization don't have access to office, it's outsourced, what do we need from Sharepoint in order to set it up? Can we use a sharepoint site for the Dynamics test enviroment and then later move it to production? How is the security handled, can everyone see the documents in SP even though it's seperated in BU:s in dynamics crm?

    When integrating Dynamics 365 CE with SharePoint for document management, it’s important to plan for both environment configuration and long-term security. While native integration enables seamless document storage, it lacks advanced security controls and scalability features that organizations often require.
    1. SharePoint Access Requirements
    Even if Office 365 is outsourced, you must have:
    • Admin access to a SharePoint Online site collection.
    • Rights to configure integration via Document Management Settings in Dynamics 365 CE.
    2. Test vs. Production Environments
    Yes, you can configure SharePoint integration in a test environment first.
    • However, SharePoint integration is environment-specific—each instance of Dynamics (test and production) needs to be individually configured with SharePoint.
    • You cannot directly migrate document locations or site configurations from test to production. Instead, replicate the setup manually or script it via PowerShell or API.
    • Ensure that the SharePoint structure and permissions in production reflect your final deployment plan.
    3. Security Handling in Native Integration
    Native integration does not reflect Dynamics 365 Business Units or role-based access control in SharePoint.
    • Any user with access to the SharePoint library can see all documents, regardless of their CRM privileges.
    • Manual permission configuration in SharePoint is possible, but not scalable or dynamic.
    4. Folder Structure and SharePoint List Threshold
    By default, SharePoint uses a flat folder structure, which can hit the 5,000-item list view threshold, leading to performance issues.
    • A workaround is to enable a custom folder structure based on entity metadata (e.g., Account > Opportunity > Documents).
    • Tools like SharePoint Security Sync by Inogic support automatic folder creation based on CRM context, helping you avoid list view threshold errors and improve document organization.
    5. Security Alignment with Dynamics (Alternative Option)
    If SharePoint document access must align with Dynamics record-level security, consider using SharePoint Security Sync.
    • It automatically syncs CRM security roles to SharePoint document libraries.
    • Supports access control at the Business Unit, team, and record level.
    • Also includes features like:
    1. Automatic folder structure creation
    2. Audit logs for document actions
    3. Support for large volumes without exceeding SharePoint list view limits
    This ensures secure, scalable, and compliant document management capabilities that are not available in the native integration.

    We have an external partner who only has access to office, so do they need to create a SP site, in order for me to link it in Dynamics when i do the integration set-up? And another question, if i deploy a site, and use it from Test enviroment, will it also be added to the production instance? Or do i do it seperatly for Production, and to a different site in SP?

    I'll answer the permissions question - this must be simultaneously managed separately in both CE and SharePoint.  That's the traditional way. There are now third-party tools which facilitate this task, as often happens.  Here is one.  And with the relatively new Power Platform it's potentially possible to do this yourself.

    To complete the D365 CE and Sharepoint integration (both online), both must be located on the same tenant.

    I understand that your current subscription does not have Microsoft 365 licenses, I could try to use a trial of the latter.
