Only one Activity but two sameTo-dos

Posted on by Microsoft Employee

Big problem:

I create a new Opportunity assiging to it a certain Sales Cycle, made of some Stages.

I'm bringing to your attention a problem related to the first stage of that Sales Cycle, but it comes over and over again also for the other stages.

So, when I assigned the Sales Cycle to the Opportunity I ticked the check box 'Activate the First Stage'.

After creating the Opportunity I go in its 'Edit - Opportunity Card', I choose the 'Activate' card and click the 'To-dos' button in it.

It opens the 'View - To-do List' where there are two (2) To-dos, both involving the 'Phone Call' Type (they have two different, consecutive 'Organizer To-do No.'s, but otherwise they are exactly alike).

If I go to the 'Edit - Activity' window for that first stage of that sales cycle I find out there is only one (1) activity of 'Phone Call' Type.

Why is that ? How can I make the 'View - To-do List' have only one To-do, the one related to the single activity listed in the 'Edit - Activity' window ?

All your help is very much desired and welcome.

Thank you all very much in advance.

Well, Robertas, you got it right !

That was exactly the reason: the System To-do Type filter was set to Organizer, showing the two identical activities, and after I turned the filter to Contact Attendee the list showed just only one 'instance' of the Phone Call activity:

So you definetly deserve a prize: if I happen to be in Cambridgeshire your round at the local pub will be on me !

Thank you one million times, Robertas !

    Have a great day !

Ok, the last thing I could probably think of is the set of filters. When you open To-dos from the Opportunity card, is one of the filters System to-do Type = Organizer?

As normally system will create one to-do per attendee - one for you (as organizer) and one for the contact. Normally, when you open the to-dos list from the Opportunity Card it applies a filter to see Organizer's to-dos only, just thinking if that's something that is not working properly in the build/localization you have.

I've just done a simple test on my local NAV2016 build 46290 (GB), and it works ok with any type of to-do.

Not much more I could add there, sorry.

I changed the activity into PROSPECT and then I made a brand-new Opportunity but unfortunately it didn't work, Robertas, the two identical to-dos still show.

But I can add one thing that I noticed, if the activity is of Meeting Type instead of Phone Call, then the to-do shows just one row, as expected. And if the foreseen activities for a certain stage are two, a Phone Call and a Meeting, then the to-dos shown for the Opportunity at that stage are one Meeting, and that's Ok, but still together with two Phone Calls, which should not.

Robertas, everything is very welcome, so uncountable thanks for any idea you may share.

    Waiting for your replies.

    Hi Raoul,

The Opportunity shows you're on Sales Cycle Stage '10'. You can see that this sales cycle stage has the Activity assigned called 'PROSPECT' (Sales Cycle Stages screenshot). Now, the Activity you're looking at is 'SEARCH', which is not the correct activity. More to that, I can't see the Activity PROSPECT in the Activity List.

So I think you need to change your Sales Cycle Stage '10' to have activity SEARCH instead of PROSPECT. Then update the opportunity (stay on the same stage) with cancelling existing to-dos, or create a new opportunity to see if that has solved it.

Hi Robertas, first of all many thanks for your reply. Then I must apologize because I didn’t find a way to attach a Word docx. to the blog, but here it is:

    1. This is the Card page of the newly created Opportunity, its first stage activated since inception:

    2)  This is the To-dos page of the Opportunity above showing the two identical to-dos

    3)  Below is the Activities which carry the to-dos, the first activity of the Sales Cycle is highlighted, SEARCH ...

… and here is the only one step the activity above carries: I’d therefore expect only one to-do, instead it happens they are two

    4)  And here is the Sales Cycle Stages page of the sales cycle I used; the highlighted stage is the first one and it’s meant to correspond to the SEARCH activity shown in point 3.

I really hope you can lead me on the right way, but so many thanks again, in advance and for whatever you can tell me.

Looking forward to hear from you.

    Hi Raoul,

it sound like a bug. Did you have any development done on this?

If not, does 'Sales Cycle Stages' tab on the Opportunity Card show only one stage, and it's marked as active? Could you post screenshots of:

    1. Opportunity Card page

    2. The to-dos page (where it shows 2 identical to-dos)

    3. To-dos of the activity

    4. Sales Cycle Stages page of the sales cycle you've used.

Maybe some of these will point to the solution.

    Robertas
