Workflow notification for "Final Approve" action not sending

We recently upgraded from GP 2016 R2 to GP 2018 R2. Since the upgrade when running a purchasing requisition workflow the "Final Approve" email notification does not fire to the originator or to the CC'd users. This only happens on workflows that have more than one step. If the work flow has 2 or more steps the "Submit" email notification fires and the notification to the specified "Assign To" person fires but once the PR is approved using the "Approve" link in the email notification and the workflow is marked as 'Complete" in the system the notification does not send.  The same workflow worked fine in 2016 R2 before the upgrade.

In the below screen print the "Executive Director Requisition" workflow sends the "Final Approve" email notification while the "Communications Requisition" does not.

Any help with this would be greatly appreciated as this is causing our accounts payable team to take additional steps to find that approved PR are ready for processing which is causing delays in ordering.

    Hi,

    Just read this thread. We are facing the same issue after upgrade from GP2016 to GP 2018 (18.4.1361). that is the Expense report creator received multiple emails for final approval where multiple steps are defined.

    I hope it shall be fixed in its upcoming release.

    We have upgraded to web services version 18.4.1363 and this issue is still occurring.

    Hi Justin,

    We sort of have a similar but opposite issue. The "Final Approved" email is being sent for steps that have "No Action Needed".

    We are on version 18.3.1290 (updated last week), Web services is 18.3.1175.

    Since migrating to the Fall 2020 update a few months back, to allow for MFA, the Workflow now assigns the "No Action Needed" steps to the PO originator, previously it would assign them to "SYSTEM". The issue is that the Workflow sends a "Final Approved" email for all these no action steps. I'm not sure if this was the case previously because the assigned user was SYSTEM so we would not have known if the final approved email was being triggered or not.

    As a result, in our large PO Workflows (steps based on division etc), the originator receives 50+ emails with the subject "Final Approved" but the comments being "No Action Needed" immediately after submitting the PO.

    I checked the database and in the table WF30100 the "Workflow_Action" value for those "No Action Needed" steps is 11. From looking at blogs etc, the "Final Approve" status is value "10", so I'm not sure why the system is sending out a final approved email when the status is 11... We've tried rebuilding the wfDeployCLRAssemblies but nothing changes.

    As a result we have had to turn off the "Final Approved" email notification on the Workflow. It's not really a resolution for us as we have to be able to notify the originator when a PO has been approved at the final stage, ready to be actioned.

    Have you come across this issue at all? Can you recommend anything we can look at to try and fix it?

    Thanks for your help Justin!  Hopefully Development can get a fix for this as this is really burdening our finance team and is causing bottlenecks in our procurement process now.  Feels like we've taken a step backwards with 2018 R2.

    Hello Colin,

    That is what I figured was happening.

    With recent versions of GP, the process for Workflow has been updated, with some oddities that came with it. Basically if your last step is a "no action needed" step, then GP is only going to send the "Approval" Email, not the Final Approval email. When GP gets to your last real step, it sends the Approval email right as it assigns to your user. When that is approved and it goes to your last step, it goes "well we are done here", so it updates the previous step to be the Final Approval but will NOT send that notification.

    This came about due to us adding the more advanced workflow steps. We do have a note in with Development to see what they can do about changing this up, as there really isn't any fantastic way of getting around the issue outside of making sure your last step always requires approval.

    Can you post a screenshot of the workflow history window for an example of when it isn't working?

    As always, feel free to block out any users' names, I am just curious what steps were taken, and what GP said it did.
