Calculating travel which flows through to CRM - Healthcare

Posted on by 9
Hi, I am wondering if the field service app can use azure maps to route and calculate travel in between jobs for workers (nut not from home) and have this information pushed back to the CRM automatically to ensure workers get paid correctly? If so, can you please advise what I require to do so and where this information would populate in schedule board. Our CRM is built on Dynamics 365 FYI. We have over 100 workers to manage who travel in between clients households as their main job role so managing the travel as an automated process is paramount, we cannot use the expenses tab in the app for various reasons.

Hi, you can integrate the Dynamics 365 Field Service app with Azure Maps to calculate travel routes and times between jobs and push this information back to the CRM automatically using workflows/flows.

To achieve this, you can follow below short steps:

    1. Set up to use Resource Scheduling Optimization (RSO).

    2. Configure Azure Maps to provide real-time routing and travel time data. You will need an Azure Maps account with routing and geolocation APIs enabled.
    3. Set up travel time calculation features in Field Service to calculate routes between jobs.

    4. You can create a workflows to push this information back into the CRM, ensuring it’s used for worker compensation calculations.
    5. Customization for Payment Calculations:

      • Automate travel data capture using the Field Service mobile app and ensure the travel time between job locations is accurately recorded in the system.
      • Use Power Automate to automatically trigger payment-related workflows, such as updating time entries with travel information.
    6. Schedule Board Integration:

      • The travel time data will appear on the Schedule Board in Field Service, under the Booking details for each job.
      • Travel times between jobs will be reflected on the resource booking panel to assist dispatchers in managing worker schedules effectively.

For more detailed guidance and documentation on setting up this integration, please refer to the official Microsoft documentation:

There is OOTB solution that can address this problem with additional licensing procurement. You can use, "Resource Scheduling Optimzation (RSO)" module. You would definitely want to compare the cost of procuring RSO over developing your own RSO like extensive features.

This will help you to automate your manual scheduling mechanism. The RSO has many features that can cater to your requirement. It allows resource starting location to be set, also recognizes the travel time between the work orders. You can create optimizations based on your goal whether you want to optimize the travel time or improve the productivity.

You can find more details regarding RSO in following links.
