How to give SharePoint access to my users/team

Dear Community,

My organization's Dynamics and SharePoint are integrated. I have a system customizer and higher role and I can access to SP from Dynamics without problems. However, my team who has Dynamics license can access SP from Dynamics, it shows the below in their Dynamics:

Does someone know how a SP admin grant the permission to my users, so they can use SP function in Dynamics?

Thanks!

I have the same question (0)

If you're looking to grant your users permission to use SharePoint functions within Dynamics, there are a few steps that your SharePoint administrator will need to take.

First, your SharePoint administrator will need to ensure that the SharePoint site associated with your Dynamics instance has the appropriate permissions set up. This typically involves creating a SharePoint group and granting that group the necessary permissions to access and modify the content within the site.

Once the SharePoint group has been set up, your administrator can then add your Dynamics users to that group, which will give them access to the SharePoint functions within Dynamics.

It's worth noting that the exact steps may vary depending on your particular setup and configuration, so I would recommend consulting with your SharePoint administrator to ensure that everything is set up correctly.

    This worked for me!

I had already done the following with no success:

    - Adjust "Document Location" in Security Role Core Records

    - Adjust "SharePoint Site" in Security Role Core Records

    - Add the user as Member (Edit) in SharePoint Site Permissions

Adding the same email address to the "SharePoint Email" field on the user record seems to have successfully resolved the issue, in combination with the other steps.

    Cheers,

    Francis

RE: How to give SharePoint access to my users/team

    Hi Alex,

Is it possible because of the following issue:

The missing of the root site on the site collection. It is important to have the site under the root path. It could be an empty site. (someone who experienced the same question told me this. I am not sure what it means)

Our targeted SharePoint site is a "subsite"(not a library) under the main site.

    Looking forward to your feedback!

    Hi Alex,

Another piece of info for you to see is what my users received when they choose the valid document location:

RE: How to give SharePoint access to my users/team

    Hi Alex,

Thanks for always being so supportive and helpful!

    - Dynamics 365 Sales Software License? I don't know how to check this
    - Dynamics 365 Sales Server Version? 1710 (9.2.21121.121) online
    - Dynamics 365 Sales Client Version? I don't know how to check this
    - Customizations? I have only customized the system by creating some fields in the account/contact entity

Is there any Microsoft support or some expert/partner you recommend? I am located in Switzerland.

    Thanks a lot!

please refer to the answers above and/or to the Microsoft Documentation as mentioned and follow all the steps in the correct way:
    https://docs.microsoft.com/en-us/power-platform/admin/manage-documents-using-sharepoint

For specific product versions make sure to use the correct Microsoft Doc`s.

For further assistance and tailored information, please provide me more information:
    - Dynamics 365 Sales Software License?
    - Dynamics 365 Sales Server Version?

    - Customizations?

Otherwise contact Microsoft support or some expert/partner.

    Rg,

    Alexander

*Due to the complex and different possibilities of deploying Dynamics 365 I highly recommend not to setup the application without some expert/partner or support. (For more information contact me under anassl@inno-solutions.info or visit www.inno-solutions.de)

    Dear Alex,

It seems it is possible to resolve it if I add the same email id of the User in the field called “Sharepointemailaddress”. Please see below:

    pastedimage1641314242906v1.png

However, the field doesn't allow me to enter data, do you know how to do so?

RE: How to give SharePoint access to my users/team

    Hi Dynamics try-to-be-advanced user,

business unit security contains inter alia that users from a business unit are not able to see records/transactions from another business unit they are not assigned to. An user in business unit B won`t see records/transactions in business unit A and so on. This includes (sharepoint) documents/files, too.

Whatever, if the Sharepoint connection is setup globally for the Dynamics 365 environment all users have access to work with it (if the permissions are granted). So the user must be able to use the document management features (in regards to the granted permissions) anyway.

Now, there can be a lot of reasons why the users are not able to access it, even in their assigned business unit. Therefore, I recommend to check the whole setup of the Sharepoint integration using the Microsoft Doc`s as it has to be correct:

    ...for Customer Engagement Apps: https://docs.microsoft.com/en-us/power-platform/admin/manage-documents-using-sharepoint

If the issue exists even afterwards, just get in touch with the Microsoft support or some expert.

    Rg,

    Alexander

The security of the SharePoint site and Dynamics are not synced. Therefore the SharePoint site administrator needs to grant access to the users via the Share button on the SharePoint site. You need to grant both read and access rights to the individual users. You could use the standard Contributor role in SharePoint. You can also grant a whole team at once. This can save some admin work.

RE: How to give SharePoint access to my users/team

    Hi Alexander,

The screenshot is my Dynamics. The expected user still can't access SP in D365 but the user can access SP directly, I have also assigned the security role with SP access permission in D 365 to the user. Unfortunately, the user's SP in D365 is still like this:

    pastedimage1638443416801v1.png

The expected user's permission in our SP is as a site member. What are the possible issues I didn't spot?

Thanks a lot for your attention! I hope you can help me solve the problem. I was wondering if it is the problem of the business unit? My unit is A, the expected user is B. But we use the same SP and D365.
