How to disallow back order creation?

Is there any standard functionality in Dynamics Ax 2009 to prevent back orders from being created for certain items?

In my scenario we have a number of items that shouldn't be possible to sell unless there is enough available stock. E.g. the item will be replaced and we only want to sell the rest of the current stock.

I thought this should be a pretty common business requirement, but I can't seem to find this functionality.

I'm grateful for any input on this problem.

    You may use the stopped setting in site specific/default order settings:

    Select this check box if an item is blocked. When an item is blocked and you enter a purchase or sales line, a warning message appears. When the item is blocked, inventory transactions that are related to the purchase or sales order line cannot be modified, for example, when you post a packing slip or an invoice.

    You can block a purchased item, and at the same time, sell the item. In this case, this field is selected on a purchase order, but it is not blocked in inventory or on a sales order.

    An item number can be blocked from being sold, for example, if:

    The item is still under development or manufacture, and you do not want the item to be sold or reserved.

    You have received many defective items. The defects must be corrected before the item can be sold. Therefore, you can block the item until the issue is resolved.

    When an item is blocked and you create a return order line, a message is displayed. To post the line that you have created, you must clear the check box.

    You cannot block a series or a lot of the item. If parts of the item are to be blocked, you can block them by moving inventory or by blocking the full stock of the item for that period.

    Dear Joost te Molder,

    I appreciate you trying to help me out! Unfortunately your solution will not solve my problem. I realize I have not stated my problem clear enough, so I will try to clarify it:

    Let's say we have 1000 pcs of item A in stock. Once this stock is all sold, we will never replenish the stock, and thus won't be able to fulfill any back orders that are placed for this item.

    One sales order is placed for 500 of item A, and then at a later stage, another order is placed for 500 and now there is no available stock left.

    With your solution, we would need to manually keep track of all our items (50'000+) and block them each time an item reaches 0 available stock (if it's such an item that won't be replenished). Further more, the two sales order that was already created and have yet to be delivered, won't be possible to deliver becuase of the block.

    You can look at it as a company selling consumer electronics online. They have 1000 iPads left in stock, and would like to sell these, but once they have all been sold, they will not replenish any more iPads, since iPad2 has been released.

    I think this should be a very common business requirement, and I'm really hoping that Dynamics Ax 2009 can handle such a scenario.

    From a developers perspective you can write some code to check the availPhysical field for the warehouse on the sales order.  If <= 0 then you simply can prompt the user and disallow the creation of the SO line.

    Henrik,

    There's a couple of pieces of functionality that you could use here.  First of all, it's possible to select an alternative item number for an item.  This can be seen by clicking on "Inventory management"-->"Item details"-->"Other" tab and examining the "Item alternative" field group.  As an example:

    -Item X has an alternative item of Item Y

    -The "Use" field is set to "Nothing in inventory"

    -When a sales order for item X that is for more material than is currently in the inventory, AX will pop up a message and say "Item number will be replaced by the alternative item number: Y"

    Additionally, you can stop a particular item for purchase, sales, and inventory transactions.  This will not allow a user to include the item as a line on the selected type of order.  This can be set by clicking on "Inventory management"-->"Item details"-->"Setup" button-->"Default order settings".  There is a "Stopped" field on the "Purchase order", "Inventory" , and "Sales order" tabs.  In your case, you would want to set "Stopped" on the "Purchase" order tab so that you can no longer buy that material.

    This combination of these two settings should help get you a partial solution.  If you have any additional questions, please let me know.
