How to implement landlord and tenant management in AX?

Hi,

I am working on one requirement, the company doing service for landlords. The company is maintaining landlord's building.

The company doing the followings:
1. Collecting rent from the tenants
2. Room service
3. Cleaning & maintenance
4. A/C, washing machine fittings and other services

Here, there is not inventory.

End of the month, The company charge some amounts and return the balance amount to landlord.

How to implement this business requirement in AX?

Could you please give me some high level explanation?

    Hi Hari,

    I agree with Crispin that some development might be required.

    Yet, the project management & accounting module is from my perspective able to handle and incorporate all those processes in basic.

    Example:

    For 1: The Project module let's you generate so-called subscriptions, straight line revenues and milestone revenues that you can invoice and collect.

    For 2: For room services you could make use of project related sales orders and service categories or service items.

    For 3: Same as 2

    For 4: Same as 2

    Amounts withheld can be incorporated throught the customer/vendor retention functionality.

    Have you thought about making use of that module and try to do some testing?

    If specific things are missing you can still do some adjustments or think about available add-on solutions.

    Sorry, we are not interested to buy. So, we are planning to develop/customize our self. I am new to functional.

    One guy suggested to use financial dimension for tracking the rent and expenses.

    1. Rent collection (sales order)

    2. Purchase material (purchase order)

    3. End of the month, we need to take financial dimension wise transaction report and calculate the amount for Landlord

    4. Create purchase order for Landlord and settle the amount

    I will try Ludwig's suggestion and update you.

    Please advise if you have any other workaround for this requirement.

    Another approach could be to use the project module to keep track of income and expenses for a property.

    I obviously don’t know a lot about your requirements, but I think you’ll be surprised how complex this real estate area is.

    Few years ago, I have been through this, which gave me chance to work for an ISV of Property management.

    The standard AX is not best fit for Property Management. You can have payment schedules after your rent an apartment or any property. The contracts can vary customer to customer. Some may be due to pay by end of month whereas others might be bound to pay on different dates. Then there is issue of revenue recognition. There could be renewal or termination of a contract. There can be discount in certain months of year only for some tenants. There could be refundable invoices (Security deposit etc.) How you would manage property itself? You said there is not inventory. Great! How you will trace the vacant properties, how you will produce report of occupied properties. How you want to provide information on business intelligence side, to let marketers advertise a property that is near to get free.

    I can say much more on property management but I would avoid any college lectures  :)  it’s a huge world, the property management.

    If you have less resources you can think to go with standard ax by minor modifications. But if you have enough resources, I will definitely recommend you to create a new module or buy one.

    After four years, I came to the same topic :)

    1. Is there any related functionality is already available on D365? So I can refer

    2. Can we manage the properties with zero value in the fixed asset? Any problem on finance standard? So I can avoid the new form creation for properties

    3. Can we match the work order with AX service order form?

    4. Some consumed items should be billed to tenant and some consumed items should be billed to landlord. How can we manage this with service orders? Do we need to create two service order one for landlord and one for tenant?
