Archiving data in AX 4.0

The company I currently work for has a lot of seasonal products. These products will be available for at least one more season but after that become unavailable for ordering.

In the 13 years that they have been using the AX system none of these products have ever been archived or deleted or otherwise flagged as old. This results in employees sometimes placing the old products in orders.

My question is if I can somehow archive these articles and possibly the sales/purchase orders and invoices as well. Archiving the invoices would mean that we would still need to be able to actually get to the data as we are required by law to keep the invoices for at least 7 years.

I am aware of there being an export function within AX 4.0 which can be used to create backups. From what I understand of this function is that it just makes a backup and it does not actually influence the data in the way that I am looking for.

What I ultimately wish to accomplish is to have some kind of archive file created (which can be approached only when needed) and have the older seasonal products no longer available within the database. Does AX 4.0 support such a function?

    you can lock the items for sales in items form. you will still see them, but won´t be able to sell them.

    but i don´t think there is a functionality within ax that "removes" the items, because there are references everywhere.

    You can use "Intelligent Data Management Framework" (IDMF) tool

    It analyzes AX database and helps to archive & purge historical data

    This tool supports AX4 as well as AX2009 and AX2012

    Hi Sebasshhh,

    The IDMF tool as suggested by MasterVBNet does support some archiving, but in the past did not the inventory transactions and items. The reason is that too much references are in the system related to transactions, inventory valuation and the items itself.

    The tool is updated since then, but I have not checked if this is supported now.
