Reserved Quantity within Inventory

Our company's NAV issue: We can't separate items within inventory from "Quantity on hand" and "Reserved Quantity".

The problem shows up when our procurement department is trying to purchase various items and doesn't know which items are "available" and which are "pre-packed" per job (packed but not shipped).

Is there a way that we can identify those "pre-packed" quantities and separate them from the "quantity on hand" inventory in NAV?

    You might be able to do a couple things:

    If you have Bin Locations: Tell your purchasing agent when she opens the Item card not to look at the Quantity On Hand, but to instead go to the Navigate tab, and in the Warehouse area of the Navigate ribbon choose Bin Contents. This will open the Item Bin Contents window which will show how many of that item are still in the Bin(s) where it resides before it gets picked.

    The other thing is, if you use Warehousing you should have setup a Bin location dedicated to Items that have been picked. For instance, in our system after an item gets registered for a Sales Order Pick it moves into a Bin called 'Shipping'. This makes it easy to determine how many have been picked for Shipping though they have not actually shipped yet.

    Another option is to have your Purchasing agent use the Availability Status report. Use the search bar to search for it. Another option is to pull up the item in a Sales Order and to the right in the information box NAV will tell you how many of that item are currently available. You can also write a report that takes Quantity On Hand and deducts the amounts on Sales Order and on Production Order - giving you the Available balance.

    Using Reservations is another topic. However, as soon as you create the pick for a Sales Order that item gets a soft reservation against it... and once the pick has been Registered then that item becomes reserved for that Sales Order.

    Please check the Item Availability by Period on the Item card, that takes into account of reservations or the quantity on the other sales orders.

    That would be the goal. However, we are trying to figure out how to successfully reserve items in the system before going any further.

    Are you reserving those items for the sales order ?

    "pre-packed" means that it has been gathered and packed for a specific job to be shipped out.

    We currently don't have any way to separate those items from our "quantity on hand" in the system.

    When the buyer tries to see how many of a certain item needs to be purchased for a future job, they can only see the full quantity on hand (since inventory isn't taken out until shipped from our sales order.).

    We have a purchasing issue as a result due to the lack of the ability to separate what we have packed vs. what we still have available on the shelf to pull from within our inventory in the system.

    The above is why I am asking if there is a way to separate the two out in our system.

    Can you please let me know what is the definition in your organization for the pre-pack are you referring that some of the items are reserved and you don't want to take that into account in quantity on Hand.
