Time for a contact to be added to a segment, (based on form submission)?

Hi,

How long, (in general) should it take for a contact to be added to a segment? Is it normal that it can take up to 2 hours?

I created a segment based on form submission. We were 6 different test users/people submitting the form. Two of the contacts were added to the segment almost instantly. Another contact after about 40 min and remaining 3 contacts after almost 2 hours.

The form was submitted by users about the same time, 1-2 min in between. Is this a behavior to expect?

My clients segment represents all users that submitted a download form, meaning when submitting the form user/contact should receive an email sent from Dynamics, (via a customer journey) which includes a link to a download asset. So the segment is added to a journey which include a tile with a marketing mail containing the download asset link.

If a user/person fills in a download asset form they will of course expect to get the email with the download asset directly. Not after 2 hours. Is this a scenario/use case that can´t be done in Dynamics Marketing? Or is there a way to configure/set so that segments are updated instantly, (as well as trigger the journey to send a marketing email directly when a new contact is added to segment?

Basically, what to expect in terms of time from a form submission being made until contact is added in segment and journey is started, (and contact receive the email)?

Thanks in advance!

Best Regards, Johanna

    Hi, Johanna

I’d like to suggest that you use the Double opt-in approach to achieve your needs.

    1. Create an email with the template whose Purpose is Double opt-in, email base confirmation.

    2. Edit the content you’d like to confirm with the contact depending on your needs. In your case, the link to a download asset need to be insert into the email.

    3. Check for errors and Go live it.

    4. Go to the Summary tab of your download asset form and Set the Form level double opt-In. Select the email created in step 1 as the Confirmation email and make sure the Content settings is the same as the marketing page.

    5. Check for errors and Go live it.

    6. Make a submission

The user/person who made the submission will soon get the email with the link.

    Hope this helps.
