Manage security roles in Power Platform Environments Settings App

Hello,

In the legacy advanced settings, we had the option to manage security roles directly from the view or the user form:

In the new Power Platform Environment Settings app, we no longer have the option to manage the security roles from within Dynamics:

Does anyone have a solution on how to be able to manage security roles from the user form within Dynamics, (without having to navigate to Power platform admin center)?

Hi there! Good morning, evening, or afternoon - depending on where you are :) Hope you are well today!

    This was removed.
If you need it on the User Form within Dynamics vs using Power Platform admin center, you can try these workarounds:
    • Custom Button or Ribbon Workbench Solution: You can create a custom button on the user form using the Ribbon Workbench. This button can trigger a workflow or JavaScript to manage security roles without navigating to the Power Platform Admin Center.
    • Custom Canvas App: Build a lightweight canvas app that integrates with your Dynamics 365 environment. This app can provide a user-friendly interface for managing security roles and can be embedded within Dynamics.
    • Direct API Calls: If you’re comfortable with development, you can use the Dynamics 365 Web API to manage security roles programmatically. This approach requires some technical expertise but offers flexibility.

    Hope this helps some!

    Hello LA-02051057-0,

You've accurately pointed out a significant change in the user experience with the transition from the legacy advanced settings to the Power Platform admin center. The direct management of security roles from within the Dynamics 365 user form is indeed no longer available in the same way.

Unfortunately, there is currently no supported or straightforward way to replicate the legacy security role management functionality directly within the Dynamics 365 user form without navigating to the Power Platform admin center.

Here's a breakdown of the situation and alternative approaches:

    Why the Change?

    • Centralized Administration: Microsoft is moving towards a centralized administration model through the Power Platform admin center.
    • Security and Compliance: Managing security roles through the admin center provides better control and auditing capabilities.
    • Unified Experience: The Power Platform admin center provides a unified experience for managing all aspects of Power Platform environments.

    •

    Alternative Approaches and Considerations:

    1. Power Platform Admin Center (Current Recommended Approach):

      • While you're looking for a solution within Dynamics, the admin center is currently the only supported method for managing security roles.
      • You can access the user's security roles directly from the environment's user list.

    2. PowerShell (For Automation):

      • You can use PowerShell to manage security roles programmatically.
      • This is useful for automating role assignments or creating custom tools.
      • Microsoft Graph PowerShell: This is the most modern approach.

      • Relevant Commands:

        • Add-MgDirectoryRoleMember
        • Remove-MgDirectoryRoleMember

      • Considerations:

        • Requires PowerShell skills.
        • Requires setting up authentication and permissions.
        • Is not an in-application solution.

    3. Third-Party Tools (Potential):

      • There might be third-party tools or solutions that provide custom interfaces for managing security roles within Dynamics 365.
      • However, exercise caution when using third-party tools, and ensure they are from reputable vendors.

    4. Custom Web Resource (Advanced, Unsupported):

      • It is technically possible to create a custom web resource with javascript that interacts with the Dynamics 365 Web API to manage security roles.
      • This would require significant development effort and would be considered an unsupported customization.
      • This is highly discouraged, as it is very complex, and could break with future updates.

    5. Provide Feedback to Microsoft:

      • The most effective way to influence Microsoft's development roadmap is to provide feedback.
      • Use the Dynamics 365 Ideas Portal to suggest a feature that allows security role management within Dynamics.
      • The more users who request this feature, the greater the likelihood of Microsoft implementing it.

      •

    6.

    Key Takeaways:

    • The direct management of security roles from the user form is no longer available.
    • The Power Platform admin center is the current recommended approach.
    • PowerShell can be used for automation.
    • Provide feedback to Microsoft to advocate for a feature that allows in-application role management.

Just going to confirm what other folks here have said, the button to assign security is no longer available within CRM unless you can force the classic form to open on the user table. The same hold true for the team table as well, I believe.

Something you can try, that I cannot validate, is to add a subgrid to the user record that shows the N:N relationship between users and the security roles. In theory you could use this to add or remove a role, similar to how you could interact with other subgrids and N:N relationships, but ideally you would just use the Power Platform Admin center.
