When working with
Sales Quotes
in Business Central, one small setup can make the process more efficient and consistent: the
Quote Validity Calculation
field in
Sales & Receivables Setup
.
This field helps automatically populate the
Quote Valid Until Date
on a sales quote. Instead of entering the validity date manually each time, users can define a formula once, and Business Central will calculate the expiry date based on the
Document Date
.
What is Quote Validity Calculation?
The
Quote Validity Calculation
field is used to define how the system should calculate the quote expiration date.
In simple terms, it tells Business Central:
how many days, weeks, or months a quote should remain valid
how the
Quote Valid Until Date
should be derived from the
Document Date
This is useful for companies that want all quotes to follow a standard validity period.
Why is it Useful?
In many businesses, quotes are valid only for a limited number of days. If users enter the validity date manually every time, it can lead to:
inconsistency across quotes
extra manual work
possible errors in expiry dates
By using
Quote Validity Calculation
, Business Central can handle this automatically. This saves time and ensures that all quotes follow the same rule.
How it Works
On the
Sales & Receivables Setup
page, you can enter a
date formula
in the
Quote Validity Calculation
field.
Once the formula is defined, Business Central uses it to automatically fill the
Quote Valid Until Date
on the Sales Quote.
For example, if your company wants every quote to remain valid for a fixed period after creation, you can define that rule here and let the system calculate it automatically.
