Real-Time Workflow Emails Not Working – Only Receiving Weekly Recap

Hi Community,

We're facing an issue in Business Central (Cloud SaaS) related to workflow approval email notifications.

Problem Description:

Multiple users are expected to receive real-time approval emails when documents are submitted for their approval. However, users only receive one weekly recap email every Sunday around 2 AM. We do not want this recap email. We only want the real-time approval notifications.

 What We've Checked:

  • The approval workflow setup is correct.
  • Users are properly assigned in the approval chain.
  • In the Email Outbox, the failed entries show the following error:

    LicenseServiceNonTransientException: Service resource is gone. Exception details : Status code returned: 'Gone', HTTP request error: Unknown.

     
  • In Job Queue Entries, the related background job (e.g., email dispatch) has stopped and shows this message:

    Something went wrong and the job has stopped. Likely causes are system updates or routine maintenance processes. To restart the job, set the status to Ready.

Our Questions:

  1. What does this LicenseServiceNonTransientException mean in the context of email notifications?
  2. Why are real-time workflow emails not being sent, and only weekly digest is?
  3. Is this related to the email account authorization (OAuth/SMTP) used for sending notifications?
  4. What is the recommended way to restore real-time notifications and stop the weekly recap?

Any help or suggestions would be greatly appreciated. If someone has faced and resolved this issue, your guidance would be very helpful.

    Hi,

    When real-time workflow emails stop and users only receive a weekly recap, it’s usually a mix of notification schedule misconfiguration and a stalled job queue. The error you’re seeing (LicenseServiceNonTransientException) typically means the email dispatch job lost access to its service resource — often due to OAuth token expiry or a system update that paused the job.

    Here’s how to get things back on track:

    • Go to the Job Queue Entries page and locate the workflow notification dispatcher (usually Codeunit 1509). If it’s stopped, set its status to Ready and restart it. This should re-enable real-time dispatch.
    • Then, check each user’s Workflow Notification Setup. If their schedule is set to “Weekly” or “Digest,” they’ll only get summary emails. Change the recurrence to Instantly and confirm the notification method is set to Email.
    • Also verify that the Email Account Setup is valid and authorized. If you’re using OAuth, re-authenticate the account to refresh the token. SMTP setups may need a password update or relay check.
    • To stop the weekly recap, make sure no users have “Weekly” selected in their notification schedule. You can bulk-edit this via the Approval User Setup page or by scripting a config update if needed.


    Once the job queue is restarted and schedules are corrected, real-time notifications should resume as expected.
