Trying to get a consistent CRM Sharepoint document storage behavior

Good afternoon

I've been trying to create consistent storage locations for Opportunities, Quotes, and Sales Orders on Sharepoint.

Currently there appear to be two behaviors:

1. If an opportunity is created and then a quote is created before the opp's document storage is created, then both the opp, and quote can create their own separate folders.

2. If an opportunity document storage is created before the quote is created, then the quote's document storage location directed to the opportunity's folder.

The first option is the behavior that we want however we've been unable to force this consistency.

It appears to me that there may be some information from the opportunity that is inherited by the quote when the quote itself is created. This also affects the Sales Order storage when the SO is created.

I'm hoping that someone here may be able to point me in the right direction is get this working as we would like.

    Hi Karl,

    Its not about child entity, this behavior is only applicable to out of box sales entities i.e. when lead is qualified into Account or Contact or Opportunity; When Quote or Order is create from Opportunity; Order is created from Quote.

    No, there isn't any way to control this behaviour. If the above mentioned opertion happened and the document location entity exists in the parent then child will inherit its property. For all other it should work fine.

    Thanks for the above, it's a great help.

    Just some clarification; there isn't a way within CRM to stop the child entity from inheriting the document location information from the parent entity, if it exists, by selecting which field values to inherit?

    Hi,

    This is an expected behavior. The reason is when you create a quote from opportunity, the quote referred the field values from opportunity entity. So if the opportunity has the document location, it also points to the same document location. If not, then when you click on documents, it will create it own document location. You will experience the same behaviour when you execute the GenerateQuoteFromOpportunityRequest pragmatically. You will notice that thsi message aonly accept the opportunity id but still it creates the quote with other common details.

    The same is applicable for when the order is created from the parent record.

    So to answer your questions, you can't really control this unless :(
