Data Import - Accounts and Contacts in sales hub

Hello,

I am new in this field and require help in data import for account and contacts. Our customer data has many contacts associated with a account with business phone number

common in contacts (Say for Ex Company ABC has Business phone number 123456789 and contact 1 , contact 2, contact 3  will have same business phone number).

also contacts do have common  First Name OR Last Name (people do have common 1st name OR either last name, in same cases both are same) we have to do data import for the

same, our customer does not want to merge any common data. Total -   Accounts 187 and contacts 322

Current stage  - We have transferred the solution from sandbox to production and tried to do data import but not successful. In account  and contact entities  for both we did advance find added all the field, got the results and exported excel spread sheet and then we have opened the spread sheet deleted column A | B | C and saved the file as csv file and did data import for CSV file with field mapping but failed.

Could you please guide what is the correct method / steps for data imports in CRM to have 100% success rate all the time without getting any failures.

Thank you

    Hi Partner,

Based on the fact that you now have only a small amount of data in error, the easiest way is to create these records manually in CRM.

The first error means that there are 2 records that have a name field that is the same:  www.c-sharpcorner.com/.../duplicate-lookup-reference-was-found-quick-tip

For the 2nd error, that sometimes means that there is a referential relationship in the 2 records being imported from the zip where the security role is assigned to a team rather than a specific user and D365 doesn't know how to deal with that through the import wizard.

    Hello Leah,

Thank  you for sharing zip option.1st we deleted all the account and contacts from production and then did combine (accounts + contacts) zip import  it worked quite well but still got some failures, below screen shot for your reference.

    Account - Total account- 57, Failures- 1,sucess-56

    Contacts - Total - 237,Failure-6,Success-231

Even though production was clean without any data still getting failures, could you share inputs on above.

    Thank You

Also, if you have a duplicate detection rule that checks those phone numbers, you should unpublish that rule before import and then republish after successful import.

    Hi partner,

Through your screenshot, there are two errors:

1.The lookup reference could not be resolved.

Caused by you are trying to refer the lookup field to a record that is not existing record in CRM, so the system would confused and trying to find the correct Master Data reference.

So you can create another file to store Account and Contact, Zip them together, then import the zipped file to CRM and do mapping.

You can refer following link to know more details about it:

Import lookup referencing records together in Dynamics 365 CRM | [Linking related entity data during Excel Import] | D365 Demystified

2.A record was not created or updated because a duplicate of the current record already exists.

As you mentioned, "contact 1 , contact 2, contact 3  will have same business phone number", so It just ended up being duplicate detection rules preventing some updates.

You can allow duplicate when importing the file.

    Note:

Before re-importing, you need to delete the previously imported data to avoid data confusion.

Go Settings>Data Management>Imports > to find the Import record you need to remove and select it, then expand DELETE to select second option.

    Hi partner,

Ok. You want to move data from sandbox to production environment.

I found following link, which provides a simple way to copy data from one Dynamics 365 organization to another is to use the export and import functionality, but it doesn’t delete ABC three columns.

Also, you can try to use Configuration Migration tool to achieve it:
