Custom Email Tracking Method in Dynamics 365 for Outlook

Hi everyone,

I'm currently in the process of implementing Dynamics 365 for Outlook features, and I’m looking for some advice or insights on a custom email tracking solution. As many of you might know, there are typically three methods to track emails:

  1. Tracking Token: Adds a random code to emails, which often looks spammy to recipients.
  2. Folder-Level Tracking: Requires configuration every time a new record is added, meaning multiple setups in both Dynamics 365 Sales and Outlook.
  3. Smart Matching: Unfortunately, as many have experienced, it’s not as "smart" as advertised.
  4. Auto Capture: Need enterprise license but still need to go in the system too accept the email to get it added in Dynamics 365.

Given these limitations, we’re exploring a customized approach where emails are automatically tracked when the approved email first received the inbound email. The idea is to set the "Regarding" field to the account associated with the primary contact on the first interaction. If no account is found, the "Regarding" would remain null and users will choose it again later

My Questions:

  • Has anyone dealt with a similar scenario, and if so, how did you solve it?
  • Can Power Automate be used to set the "Regarding" field as described?
  • Additionally, is it possible for the Dynamics 365 App for Outlook tool to display the correct "Regarding" information based on this custom method?

Any advice, suggestions, or examples from your experience would be greatly appreciated!
