Data import from excel updates partial records

I am trying to do bulk data update by exporting data into excel, edit the changes for one column and importing back into dynamics. The field i am trying to edit has blank population, in which i need to populate few records with an option set value. While the records which need to be retained as blank are not edited in Excel. My view had 7k+ records of which 3k+ records are populated with an option set value. With the bulk import only 2k+ records are updated.

I have contact records who will be associated with multiple organisations, meaning the contact name & organisation forms the unique combination. I am not sure if CRM considers the Contact name alone and treats this duplicate records. Is there a way to combine mutliple columns for unique key combination, so CRM treats the records as unique entries ?

I have the same question (0)

    Hi Lu Hao,

Many thanks for your inputs. I got the imports done by unpublishing the duplicate detection rules.

    Regards,

    Hi Sangeetha,

First you could go to Advanced Settings > Data Management > Imports, open the import file and see its reasons of failure.

If the import fails due to duplicate records, then we can check the duplicate detection rules and alternate keys.

    1. duplicate detection rules

Go to Advanced Settings > Data Management > duplicate detection rules, see if there are rules for the entity you imported, and if so, unpublish them, then import again.

After importing successfully, publish the rules.

    2. alternate keys

Go to Advanced Settings > Customizations > Customize the System, expand Entities > the entity you imorted, click Keys.

See if there is any key, if so, delete them. Then import again.

    Hi Lu Hao,

I am editing one column for all the existing records. I am neither adding new column/record nor editing columns A,B,&C. I find it surprising to see only some records are updated.

    Hi Sangeetha,

If you export the view as a static worksheet to edit the records and then import them, then you need to display columns A, B, and C in the worksheet.

If a row of records has values in columns A, B, and C, then this record refers to existing record.

So if you want to create a new record, then columns A, B, and C of this row must be empty.
