Merge duplicate contacts with event registrations

Posted on by 135

Is it possible to merge contacts that have registered for events in Dynamics Marketing ?

Registrations come are created two places:

1. trough default event registration portal that come with Dynamics Marketing
2. through event registration forms in Marketing application (sent to customers as links in emails)

Any ideas how to solve this ?

RE: Merge duplicate contacts with event registrations

Hi, just wanted to ask something similar here. When it comes to Leads why does the Event registration portal always create a New Lead on form submission? Why cant an existing Lead be updated with both event registration ID and Lead score points?

We have an Email matching strategy and use a Marketing Registration Form to capture Leads.
When we have multiple events to register for, instead of getting just one lead that updates with the latest registration information and lead score, we get multiple leads each time somebody registers for an Event.
This function is completely different to standard form submissions.

Is the Event portal designed this way for a reason or have we missed something in our settings?
    /Chris

    Hi Thomas,

The event registration records are child records of a contact record.

The contact field is a required lookup field in the creation of the event registration.

Default functions like Merge is known to us. The thing is, when using merge i think you ONLY merge the contacts and their CHILD records.

Event registrations is not a child record but RELATED record.

So to clarify my question i would like to know if someone has experience merging contacts with RELATED records ?

    Hi Thomas,

You can refer to the following documentation to merge the existing records.

Merge duplicate records for accounts, contacts, or leads (Dynamics 365 Customer Engagement (on-premises)) | Microsoft Docs

If this helped you, I'd appreciate it if you'd mark this as a Verified Answer, which may in turn help others as well.

    Hi Thomas,

Do you mean that the matching strategy you’re using now cannot be modified due to some reasons?

If not, as long as you set it to First name and last name, even if the email used for the two registrations is different, if they use the same first name and last name, the system will still treat them as the same contact and not create two.

If this helped you, I'd appreciate it if you'd mark this as a Verified Answer, which may in turn help others as well.

RE: Merge duplicate contacts with event registrations

Every time an event registration is made using the 365M Event registration Form, a new Lead is always created.
It pays no attention to the matching strategy setup for all are leads.

This means, when someone registers for multiple events, they will have multiple leads in the system, instead of just ONE lead and marketing contact which can be updated and scored.
We are using the Email only for our matching strategy, but this doesnt work.

If someone registers for 3 events, i get 3x Leads with scoring of 20 points.
I need just 1 Lead with a score of 60 points.

    Am i missing something here?

RE: Merge duplicate contacts with event registrations

Thank you, but we already have implemented a matching strategy.

My question is how one can manually merge two contacts with event registrations.

Lets say i register with email1 and later re-register with email2. The system will create 2 contacts and i want to merge them into one including (one) event registration.

As to my knowledge this has to be developed as a plugin og flow, i dont know of any other solution and was looking for tips if there are any with experience on this :)

RE: Merge duplicate contacts with event registrations

    Hi Tomas,

Please navigate to Settings > Event Management > Event Administration and create a new record.

     pastedimage1625470552087v1.png

Set the matching strategy as you need.

     pastedimage1625470557074v2.png

It will be adopted to the registrations of events, including the Event Registration Form.

To know more about it, please refer to:

Set up event administration options and webinar provider accounts (Dynamics 365 Marketing) | Microsoft Docs

If this helped you, I'd appreciate it if you'd mark this as a Verified Answer, which may in turn help others as well.
