Fixed Assets: Data Management Import - Auto numbering & financial dimensions

Hi,

I'm trying to import a large volume (100s-1000s) of fixed assets via data management. I need to understand if the following is viable in standard D365 or customization would be required.

  1. Using the Data Entity "FIXED ASSETS" is it possible to leave the "FIXEDASSETNUMBER" field blank and have D365 auto-number the fixed assets based on the fixed asset group number sequence?
  2. I'm using the data entity "FIXED ASSETS JOURNAL" to upload a large acquisition journal for the fixed assets I have uploaded. However, the financial dimensions are not populated from the fixed assets. Is there a way to ensure the financial dimensions are also populated in the journal when using Data Management?

    Hi André,

    We've made good progress now. For the first point, I've tweaked the excel add-in instead of using DM to meet our requirement.

    For the second, we are going with a lookup in excel to build the file instead of customization as this will only be a temporary process.

    Hi André,

    I think this is the route we will most likely be considering for the 1st point.

    Yes, we do have a column for the offset account in source file. Currently the most viable option does seem to:

    - Export the financial dimensions from the fixed asset model, Vlookup in excel and enter the dimensions into the source file as this is an interim process. (Most likely)

    - Alternatively, add some customization that would run the logic to default in the dimensions.

    Hi Taran,

    You can consider providing numbering in the source file or customize the entity. I guess providing new numbering and after import change the next value on existing sequences would be easier and cheaper.

    I misread the question about the journal. The second question was not related to the asset, but a journal. It has been a while ago since I did use the asset journal. I can't remember if I did provide the dimensions manually at that time. Do you have a column for the offset account in your source file?

    Hi André,

    The issue we face with existing numbering is due to this being a temporary process, and eventually all assets will be handled in D365, so we would prefer to use D365 sequencing from the start.

    The scenario would be when the assets are already imported. Let's say we want to do a bulk re-valuation or bulk acquisition of 100's of assets and create a journal.

    The source of the dimensions should be from the fixed asset itself when imported into D365. Currently the main account defaults from the FA posting profile, just the dimensions are not pulled from the fixed asset.

    If I create the journal manually in the system, the dimensions default from the fixed asset. Just not using this method.

    Hi Taran,

    The number sequence option is looking at the number sequence references defined on parameter forms only. So, I do expect that the fixed asset groups is skipped by the default application logic. Usually, I did migrate existing fixed assets with existing numbering.

    If you provide blank dimensions, where should it be defaulted from? You are importing assets. The value model needs to get a default. The journals is using the dimensions from the value model, but for importing value models, you have to provide the dimension values in your source.

    Auto-generated is not good as it populares an integer value only as you described.

    If the dimensions don't work you would need to provide them in Excel, I'm afraid. You can do it by using a VLOOKUP to a FA export on another sheet.

    Thanks for the response!

    I did try the "ignore blank" in combination with the "Auto-generated" checkbox, however it only starts a sequence from 1,2,3 etc. It doesn't use the sequence setup on the FA Groups.

    All of the dimensions are removed from the file as we do not know the dimensions at the point the journal is created, still not working.

    I'm starting to think this may require some custom code, as it works fine when manually done via the user interface.

    There is a checkbox "Ignore blank" or something like this in the data project mapping. You must activate it for the asset ID field.

    If you need the dimensions auto-populated, _remove_ them from the file! There is no guarantee I's going to work, but if you keep them in the file this initialization will fail for sure.

    Thanks for the response.

    When the fixed asset field is blank, it uploads as a blank field. Trying to find out if there is a way it will use the correct sequence instead.

    The dimensions are activated, however it does not populate based on the fixed asset. Dimensions within the import file are blank because I want them to be populated from the fixed asset itself, the same way it does when you create a FA journal via the user interface.
