Hi sandeepc

You need ensure the entity is enabled for duplicate detection.

Go Settings > Customizations > Customize the system > entities.

Click the entity you need, then check ‘Duplicate detection’ under ‘Data Services’ section.

Test.

Go Settings > Data Management > Duplicate Detection Rules to create new rule.

The choice between a plugin and a duplicate detection rule really comes down to your specific business needs and the volume of data you're working with. Here are a few things to consider before deciding:

If you have under 50,000 records, Dynamics CRM's built-in duplicate detection rules are a good starting point. From experience, though, it's worth knowing upfront that it matches on exact values only, so minor name variations will slip through. Merging is manual and capped at four records at a time, and it works best with standard entities like Account, Contact, and Lead. Also, think of it more as a cleanup tool, so you'll still need a process to stop duplicates from entering in the first place. But as you have a small dataset, it is always feasible with little effort, and the best choice instead of paying for any 3^rd party solutions.

Between 50,000 and 500,000 records, you'll want to look at dedicated tools which handle this scale much more comfortably.

Beyond 500,000 records, consider other advanced data deduplication solutions for Dynamics 365 CRM.

But, while choosing the solution, check whether

The tool provides a complete package of duplicate identification, prevention, and duplicate merging in Dynamics 365 CRM.

Check whether the tool provides customization in duplicate matching rules and merge rules so that your data deduplication can align with your business needs.

Furthermore, verify that the tool does support cross-entity/related-entity based duplicate detection in Dynamics 365 CRM.

Confirm whether the tool provides support for bulk data deduplication in Dynamics 365 CRM while maintaining the relationship between the records or historical data.
