Associate Emails to Multiple Records - Are other entities coming?

Hello all!

I'm aware that there is a new development currently in preview mode, which allows you to have a new field called 'Related' on the email entity. This field allows the user to associate an email to multiple records, which was previously not possible as you could only link an email to one 'regarding' record.

I understand this functionality is currently limited to the email entity.

Is it possible to find out if there are any plans to extend this functionality to other entities, such as appointments? And if so - when this is something we can expect to see?

Thanks,

Richard

    Hi Richard,

As of now, this feature has not yet been extended to other entities. You can keep an eye on Microsoft future release waves or preview programs for more updates.

    Thanks

The new "Related" feature for the Email entity in Dynamics 365—currently in preview—indeed allows associating an email with multiple records, which addresses a common limitation in Dynamics 365. This feature is especially useful for tracking emails across various contacts, accounts, or cases without duplicating the records. However, as you've noted, it's currently restricted to the Email entity only.

Plans to Extend to Other Entities

As of the latest updates, Microsoft has not publicly announced a timeline or specific plans to expand this functionality to other activities, like Appointments, Tasks, or Phone Calls. However, due to the positive feedback and demand for multi-entity associations across different activity types, it’s likely that Microsoft is evaluating extending this feature to other entities, particularly Appointments.

    1. Monitor the Dynamics 365 and Power Platform Release Plans: Microsoft publishes semi-annual release plans (Wave 1 and Wave 2), which provide a roadmap of upcoming features, including planned expansions and general availability dates for previews.

    2. Join the Dynamics Insider Program: This program allows users to get early access to previews and new features. Feedback from insiders often influences Microsoft’s decisions on expanding functionalities.

    3. Microsoft Idea Portal: If this is a priority feature for your organization, consider upvoting existing suggestions or creating a new suggestion on the Microsoft Idea portal for Dynamics 365. This portal helps Microsoft gauge customer interest in feature requests.

Workaround for Appointments and Other Entities

In the meantime, here are some workarounds to manage associations for other activities, like Appointments:

    • Custom N

Relationship: You can create a custom many-to-many (N

) relationship between the Activity entity and your target entities (such as Accounts, Contacts, or Opportunities). This allows you to create multiple connections manually, though it won’t fully replicate the "Related" field experience in the Email entity.
    • Connection Records: Use Connections to associate multiple records with an Appointment or other activity. This adds flexibility to relate activities to several entities, although the experience is not as streamlined as the "Related" field.

    Summary

Currently, Microsoft has not committed to extending the "Related" feature beyond the Email entity. The feature is in preview, and Microsoft may be assessing its stability and user feedback before deciding on further development. Monitoring release plans and engaging with the Dynamics community are the best ways to stay updated on this feature's future trajectory. For now, consider using Connections or custom relationships as a workaround for other activity types.
