How to customize the Approval process set up in hiring process template

Posted on by 175

Hi All,

Under the hiring process template, if a new job is set up for approval, the only option in the process template is  "default" (Choose the approval process).  If "Default" is selected, the new created job will only need to go through one step of approval, how to know the list of users who can approve? is there a way to modify the "default" approval process?

Thanks & Regards,

    Hi Anwar,

You must have license to ’Dynamics 365 Talent Comprehensive Hiring Add-on’, like below.

And Attract features are available based on the user roles. E.g. to add jobs users must have hiring manager or recruiter role assigned to them.

I see you have a Basic pain license of Attract.

When you have purchased Attract license or Talent Enterprise, you can use Attract with standard functionalities. If you want expanded capabilities, you will need to purchase Comprehensive Hiring Add-on license to have access to template functionality.

Take a look at what’s new in Dynamics 365 for Talent

    Which version of Attract?

    Hi Gangully,

    Apology for my late reply!

Thank you for sharing the details. I can able to create the process, the issue is with Approval template, I have assigned as ADMIN role but still, the Email Emplate option is not available in the admin center nor in the menu list.

RE: How to customize the Approval process set up in hiring process template

    Hi Anwar,

Assign roles to users in your organization. The following roles are available: Admin, Recruiter, Hiring manager, and Read-only. For more information about user permissions, see Security and role management in Attract docs.microsoft.com/.../security-attract

Also refer 'Create a hiring process template in Attract' docs.microsoft.com/.../process-templates-attract

Only admins can set the default template. The default template is used if a template isn't selected when a job is created. To set the default template, go to Admin Center > Template management. On the card for the template that should be the default template, select the ellipsis button (...), and then select Set as default.

If this still does not help. please raise a service request with us.

    Hi Ganguly,

Thank you for providing the detailed step by step solution, but in my case, the Email Template option is not appearing in my customer login. Dod I missed any configuration step?

RE: How to customize the Approval process set up in hiring process template

    Hi Anwar,

You can always edit the default template or create your own template for approval process:

    1. Click on 'Templates' from the Menu

    2. Select Default Template

    pastedimage1593192072507v1.png

    3. Choose the approval process: Default

    4. Make the required changes, edit, add or delete activities and click on 'Save'

    pastedimage1593192303868v3.png

    5. Now Create new job, say, select 'Default template'

    pastedimage1593192721203v4.png

    6. Add Job description and Job location (mandatory fields), Add approvers, click on 'Save'

    pastedimage1593193735906v8.png

    7. Verify on the 'Process' tab, the default template is displayed.

    Here, you can select:

    - 'Choose the approval process: Default' and you will find the button 'Send to approvers' those are added in step 6

    pastedimage1593193802057v9.png

    - 'Choose the approval process: Not needed' and click on 'Save'. You will find the button 'Activate' the job directly.

    pastedimage1593193980680v11.png

Once the job is activated. You cannot make any changes.

A template is selected while creating the job at the start. And 'Choose the approval process' is to whether you want the job to be sent to approvers or not.

I hope this answers your query.

    Hi Michal,

Thank you for the quick reply. Sure I will share the screen-prints.

My question is, when we are selecting DEFAULT under the Choose the approval process, how to know to which user the approval for JOB activation is sent to. And can we add/change the approvers list?

    Thanks.

    Hello Anwarahmed,

Could you send us some screenshots from your setup ? At this moment it is difficult to understand the scope.
