How to import the sales process step with the opportunities ?

I'm importing opportunities, but they all stay in the "qualify" step. I mapped the "sales stage" field (sorry if it's not the official translation, french language here...), but it doesn't work. The mapping offers the 4 stages, and my opportunities are using the 4 of them in the old CRM. But in the new one, only "qualify". Am I missing something else ? Is there another field I need to map ? Thanks in advance if you have any clue :)

Each Business Process Flow has it's own entity, you can create an on demand  workflow in that entity to set a specific stage, so import only the opportunities for each stage seperately and then set the stage, then do the same for the others.

Ok, I understand much better !

What I did is importing the stepname in a new field I have created. Then I have created a workflow on the entity you mentioned, which update the stage according to the value of the newly created field in the Opp. This way, I can still import everything in one batch, and it's updating the stage immediately to the right one. Then I can turn off the workflow.

Problem solved quickly, thank you for your quick answer, it's always easier with people who know where is what :)

    Hi FrancoisT,

I tested updating the BPF stage by importing Opportunity records with the "sales stage" field

When I create new Opportunity records by importing, I cannot set the BPF stage, it is always "Qualify", as you encountered.

When I update existing Opportunity records by importing, I can set the BPF stage to difference stages.

What I did was to search the Opportunity record through advanced find, add the "sales stage" field to the view, and then export it to Excel. After changing the "sales stage" field values, I imported it, and the update took effect.

In summary, it is available to update the BPF stage by importing the "sales stage" field, but it is only for the existing records, not for creating new records.

    Hello

Thanks for your idea. It requires to edit the Excel document manually though, or maybe with a function (VLOOKUP for instance) to look in a list. I'm importing 1300 opp I thinks, so I can't set them manually ;)

The solution I used wasn't too complicated, it required to create a custom field at import, and to create the workflow to update the stage. Once I knew which entities to look at, it took me an hour to get it ready I think, and then I can import and all 1300 opportunities are set to the right step with any additional operation. I think that in my case, it's the easiest solution. Pity that the default import can't take care of that, there is a field that is mapped with the stage ! Microsoft should improve that.

I think Sales Stage is an old legacy field and is no longer used and it certainly won't set the Opportunities to the correct stage, the field that gets updated by the BPF that shows in the Pipeline Graphs is the Pipline Phase, this is a text field that gets automatically updated but the only way to set the active stage is use the BPF Entity.

    Hello,

Could you help with the workflow setup? I have created a field in opportunity for the import. However, I cannot seem to manage to find the value or the field in the "Update record" step for the BPF. I can choose a specific stage only. How do you make the workflow change the value according to the new field value?

Solved it by creating a workflow with 17 conditional record updates according to all needed conditions and possible different record update options. Quite a heavy workflow, but it was the most straightforward solution.

    Hello,

Dummy question. I also ran into the challenge of updating CRM via xls import and not being able to change the stage.

I can confirm that updating the sales stage in xls, doesn't move the opportunity forward.

Can someone send me a link or explain in dummy language how I can script the sales stage without going through them one to one and use the GUI to update the stage please ?

    Kind regards.
