How to manage personal data consent to comply with GDPR

Dear Comunity,

In Europe, many companies are sending out a data process consent email to their customers in order to comply with GDPR.

Usually, they create a unsubscribe button in an email for people to click if they want to opt out in a company's database.

In Dynamics Sales, I know we can indicate GDPR opt-in or out in a contact profile. However, can it only be marked manually?

What if today I receive a list of people who would like to opt out, and how am I going to proceed with this bulk data?

Or, is there any software that I can integrate into Dynamics sales for managing data consent automaticly?

    Hi,

    Thank you for your query.

    For marketing emails, you can add an "Unsubscribe" option to the emails (being sent from D365 Sales), if the recipient clicks on it, the contact will be updated accordingly. Please look at the following article:

    The GDPR opt-out field on the contact is used for Sales Insights, if this is set to 'yes', Sales Insights will not run relationship analytics on it.

    You can see the field manually on the form as described here:

    To do a bulk update, you can import data from excel as describe in the following post:

    Updating Dynamics 365 Records using Export and Import with Excel - Carl de Souza

    Please note, for updates, it is necessary that the data is first exported from D365 and do not delete hidden columns from the sheet (A,B,C). Also, add the GDPR opt-out column in the view before exporting data.

    You can also use Web-Api/Flow to update this field.

    Hi,

    You can create a view or add GDPR Optout  field into your view and then select the rows you want to export to excel. After exporting the excel, you need to change the value of  GDPR Optout  field from No to Yes. Finally, import the file to replace the value.

    Steps:

    1. Navigate to Contacts and create a view.

    2. Click Edit column button and add the fields you need. Then save it.

    3. Change the view to your new view, and select the rows you want to change.

    4. Change the value of GDPR Optout  field from No to Yes in the excel and save it.

    5. Navigate to the Data Management-> import to import data.
