Is it possible to export or print everything on a Contacts' timeline?

Posted on by 46
Hi

We have a timeline configured on our Contact for that includes all notes and activities (emails, SMS) for the contact. We need to be able to export all items from that timeline so that the full history can be shared with the Contact (For GDPR/FOI requests).

I created an advanced find on Notes entity and that gave me all the notes details - no problem there.

I then tried creating advanced find on Activities but I wasn't picking up all the emails that are showing in the Timeline. On further investigation, i discovered that this was because I was linking off to the /Regarding(contact)/ and isn't usually the contact, it can be /Regarding/ an invoice or something else and so I can't get directly from the Email Message to the Contact.

So then I tried creating an advanced find on Email Messages but on that, the /To/ is a /Party List/ which is not searchable so that doesn't work for me either.

It looks like it should be easy - the timeline is able to list all notes and activities so the links to the contact are there somewhere but I can't figure it out.

Any ideas?

Thanks
Lisa

    Hi,
It's a limitation of the product itself that we can't add the note as a component to the dashboard.
    1) You might consider doing some customisation by following the tips in the post below
2)Add the Note entity to the navigation of the app:

Hi Leah - I wonder would you be able to assist further..... I was looking to create advanced finds that would allow us to export everthing fromt the Timeline we have on our Contact form. The Timeline include all activity types and Notes. The advanced find you provided for me gives me everything except the notes. I have created an advanced find for the notes Separately and that works fine when I am in the Advanced Find, using the Note entity.

I am now trying to add the two Advanced Finds to a Dashboard (the Notes entity is not part of our navigation menu so users can't get to it). I added the activities view fine but when I try to add the Notes view, the Notes entity is not showing in the dropdown list of entities that are available:

Would you have any idea what the problem is here? Thanks!

    Hi,
You can use 'Activity Party' as related entity to filter activities.
    Example:
1)Create four emails, related to contact through 'to','Bcc','cc','regarding' columns.
    2)Filter view:
    3)Result:

I hope you can mark my answer verified if it answer your question! If you have any questions, please feel free to contact me.
    Regards,
    Leah
