Prepayment follow up - looking for a "semi automated process"

My customer requests a smooth process for their managengment of prepayment sales orders.

Scenario:

  1. A Sales person would create the SO (to be pre-paid) and send the customer a pro-forma invoice.
  2. Upon receiving the payment file from the bank. A finance person would post the prepayment from the customer against the sales order in a payment journal.
  3. Once the prepayment is posted, the Sales person can actually go ahead and confirm the Sales order and process it all the way to the end. 

Questions:

1. How would the Finance person be able to identify the prepayment sales order to post the payment against from the payment file from the bank? In the payment journal one would have to enter the SO number to make that association.  But how should the Finance person be made aware of that SO-number? My guess is that we, on the pro-forma invoice would have to add a e.g form note asking the customer to mark the payment with the SO-number? What would be a common way to manage this?

2. Once the Finance person has managed to post the payment. How should the Sales person be made aware that the payment is received such that he continue processing the sales order. (I'm not looking for a manual e-mail kind of exchange between the sales and finance departement, but rather some clever system support). For example a view for the Sales person filtering on all Sales orders with payment terms = Pre-payment. In addition it could be enough to add a couple of columns to that SO list view displaying the invoice total balance and the pre paid amount. That way the sales person would at least see that a prepayment has been received on the full or part of the total amount.

Looking forward to some clever suggestions and hands on ways to utilize standard functionalty (Filters, Tiles, Added fields, etc) to accomplish this.

    I see you did not get answers, smart or otherwise, so will try to add my 2c

    If customer would not have multiple orders at the same, maybe it makes sense to put the customer on hold until the pre-payment is recorded?

    Also,  if this happens to specific customers, maybe they are better off set up with a posting profile with "auto-settle" turned on, so when the invoice finally gets posted it will settle automatically.
