What are the steps to get the Team Member to use case management features

Hi there,

Our organization has couple of Dynamics 365 Team Members licenses that we are using to use activities, accounts and appointment entities (read/write/delete). By reading the licenses guide, it is specified that team member can read all entities including Sales, Service and Marketing. Can anyone help in elaborating how a team member license can be used/elevated to use case entities to create/modify case and use its full capabilities?

    This thread is from 2019. I do believe the constraints on Team Member licenses have been "enforced" since then. So, if the licensing guide says read only for Team Member Licenses for certain entities, then it's likely "read only" now.

    Hi Devi,

    1. For the first question. Yes. You could assign security role to TML user to do almost any action in D365.

    While TML is a trust based license as explained here:

    TRUST BASED LICENSING

    The first thing to say is that the reason the Team Member License is priced so low is to bring down the barriers to knowledge sharing among all employees within the organisation. Anyone with a Team Member license can now consume all information within Dynamics 365. The Team Member license has certain restrictions and boundaries that must be adhered to in order to stay within the right side of the licensing agreement. The thing to bear in mind about these restrictions is that all Dynamics 365 licensing is trust-based. What this means is, Microsoft set out the rules and it is your duty as a Microsoft customer to follow them. With the licensing being trust-based there is technically nothing to stop you from assigning a Team Member License to a user and then giving them a security role that allows the user to perform almost any action within Dynamics 365. This would, of course, constitute a breach of the licensing trust and could get you into serious trouble. We felt that we should point this out because we have seen people getting confused around this area. A recent customer told us… “…I have given a user a Team Member License and they can still create Opportunities…”

    So it is partner or developer's responsibility to make sure that the TML users have roles configured matching the licensing guide as highlighted here to avoid the license agreement breaching.

    2. Yes. If your buy individual modules which needs related individual module license. If you purchase Customer Engagement Plan including all modules which needs user access with full user license.

    Thanks Johnny for the details. Microsoft however (I believe) doesn't restrict user in create/edit these entity records. That is, the option to create/edit/delete is enabled based on the security role assigned to the user with team member license. Is my understanding correct?

    So, what is the correct way of using the system, should I go with Dynamics for Sales or Dynamics for Customer Service licenses if I want to use the CRM for Sales or Service modules? Or Full user license if I want to use all available modules of CRM?

    Hi Dhasara,

           I agree that Team Members licenses can read all entities including Sales, Service and Marketing while Team Members don't have full write access to most of these entities.

          Team user licenses are broadly intended for secondary users of the application; perhaps they only need some access to data for reports, or they might have to approve certain things – or maybe they need to enter time.

          When you purchase a team member license in Dynamics 365, this user can “read” data from all of the Dynamics 365 applications that you have. Basically, you can “look, but don’t touch” everything in your Dynamics 365 environment.

          Team members license still not using case management from D365 license book and related latest D365 blog post as below:

          A selection of create / edit functions not available for Team Member licences include:

    • Create, edit or delete leads and opportunities
    • Create, edit or delete accounts - since October 2018 
    • Create, edit or delete knowledge posts - since October 2018

    • Configure system views and system dashboards
    • Microsoft Social Engagement
    • Voice of the Customer surveys
    • Products and price lists
    • Create, edit or delete quotes and orders
