Field Service - Agreement Setup Question

Hello,

I am in the process of setting up Field Service (along with Sales Enterprise and Business Central) and would like some clarity on how to handle our Agreement setup.

Background
We are a professional services company that supports engineering firms and construction companies.  We go to a project site each month and perform data gathering services and analysis.  The firm that contracts with us is responsible for the invoice, but because the costs of our service are applied to one of their project codes, which also corresponds to a site, we need to be able to perform the following items:
  • Have a primary billing account on the agreement (the engineering firm or construction company).
  • Have a functional location representing the location where we are performing the service.
  • Automatically schedule the visit each month.
  • Invoice the billing account for each site we visit that month, but with an individual invoice per site (not all sites rolled into one invoice).
What we have thus far
  • Account which is also the billing account.
  • Functional locations that are associated with the account.
  • An agreement where the service and billing accounts are the same account that will receive the invoices.
Questions
  1.   In the timeline for the agreement, there is a section named Agreement Booking Setup, which only shows one functional location.  However, on the right side of the main agreement page, there is a section for the same Agreement Booking Setup which allows for multiple booking setups.  Do we skip the timeline page and just add each site to that right side section?

  2.   Would we then do the same with the invoice setup area just below Booking Setup?
II appreciate any insight that can be offered.

Steve

Great questions, and your business case sounds perfect for Agreements in Field Service. To try and answer your questions.

    • The "Timeline" view on top of the form is also known as the Business Process Flow, or BPF. This is used to try and help guide users through a setup process, but I would not rely on it entirely. You can create as many Agreement Booking Setups as you need under a single Agreement record. Each one will allow you to define a recurrence, location, Incident Type (and products and services as needed), and a preferred resource or auto-booking settings.
    • The same thing holds true for Invoices, but they are a bit more straightforward. Invoices allow you to add a set of products to them that will be present on the invoice when it is generated. It is important to note that you can set the product and the quantity, but I believe the pricing is grabbed from the Product Catalog at the time the Invoice is generated

Once you have your Agreement Booking Setup and Agreement Invoice Setup records created, the system will generate a whole bunch of placeholder date records. These show you when the items are scheduled to be worked on. The Field Service settings menu will then allow you to define how far in advance the Invoices/Work Orders are actually created.

It looks like you are doing everything you should. Let us know if you run into any other issues!

@Tom_Gioielli, thank you for the response! I would like to mark it as the answer I was looking for, but somehow, I cannot get back into my original profile despite it being tied to my work account.

No worries! As they say in "Whose Line Is It Anyway", the points are all made up and really don't matter anyway. :)
