Hours booked % calculation

Hi,
 
I have a question, how booked hours % is calculated for resources ?
 
In my screen shot (attached), Resource working hours are between 9 am - 5 pm ( 9 hours). He has been assigned two work orders, total estimating for about 3h.31m.
But the scheduling board shows booked only 6% instead of 36%.

    1. Ensure you’re looking at only the day of the booking unless you intend a multi-day view.
    2. Verify Working Hours Configuration
    3. Double-check that the resource is set for 8 hours/day (9–17) — not 9 or other values.

    6. Only confirmed bookings contribute to utilization. Proposed or canceled ones do not.
    7. Test and Validate
    8. Create a simple 1-hour booking and view utilization in a one-day scope—you should see approximately 12.5% (1⁄8 hours).
    • Formula: (Confirmed Booked Hours) ÷ (Working Hours × Number of Days) × 100
    • Make sure bookings are committed, date range is accurate, and working hours correctly set.
    • Viewing over multiple days without bookings on others will depress the utilization percentage.

    Great question! The Booked Hours % calculation in Dynamics 365 Field Service can sometimes be confusing, especially when the numbers don’t seem to match expectations.

    Here's how it's typically calculated:

    Booked Hours % = (Total Scheduled Duration / Total Available Working Hours) × 100

    In your case:

    • Working hours: 9 AM to 5 PM = 8 hours (not 9, unless there's a break excluded)
    • Scheduled duration: 3 hours and 31 minutes ≈ 3.52 hours

    So the expected calculation would be: (3.52/8)×10044

    However, if the scheduling board shows 6%, here are a few things to check:

    1. Calendar Setup

    Verify the resource’s working calendar. Sometimes breaks or non-working segments are included, reducing the total available hours.

    2. Time Zone or Overlap Issues

    Ensure there are no time zone mismatches or overlapping bookings that might affect the calculation.

    3. Work Order Duration Source

    Check if the estimated duration is being pulled correctly from the work orders. If the system is using actual scheduled time blocks instead of estimates, the percentage may differ.

    4. Board Configuration

    The Scheduling Board may be using a different logic or rounding method. Try refreshing or checking the board settings.

    One other thing to check, just in case, is time zones. Make sure that time zones for the resource calendar, schedule board, and booking are matching. If you haven't paid attention to them, it's possible a booking could be created across multiple days for the resource's time zone on accident and thus messing up your calculation.
