Can anyone share the complete configuration and process steps for the below scenario. 
 
 
•    Centralized Intake: All revenue should flow into a staging module before posting to the GL.
•    Posting Lock: GL posting must occur only after Finance approval, either through workflow or batch processing.
•    Audit Trail: Complete traceability from source to approval is essential

    To me your solution is workflow approvals, along with combination of a few things.
    If you can provide us with some examples, we can provide you detailed solution.

    Hi,

     

    To achieve a centralized intake process with staging, posting lock, and full audit trail in Dynamics 365 Finance, you can combine standard features with workflow and audit policies. Here’s a recommended approach:

     
     

    1. Centralized Intake (Staging Before GL Posting)

     

    • Use General Journals or a custom intake journal as the staging area for all revenue entries.

    • Configure Journal names specifically for intake purposes (e.g., “Revenue Intake”) and restrict them to Ledger account type only. This ensures all revenue flows into this staging journal before hitting the GL.[1]

    • If revenue originates from subledgers (e.g., AR, Projects), configure posting profiles so that subledger postings stop at the staging account rather than final revenue accounts. Later, reclassify to final accounts after approval.[2]

    2. Posting Lock Until Finance Approval

     

    • Enable General Ledger Workflow for the intake journal.

      • Go to General ledger ▸ Setup ▸ General ledger workflows and create a workflow for General journal approval.

      • Define approval steps, thresholds, and assign approvers in Finance.[3]

    • Configure journal control so that journals cannot be posted without workflow approval.

    • Optionally, use batch posting after approval for automation. The workflow can trigger the posting process once the journal reaches “Approved” status.[1]

    3. Audit Trail and Traceability

     

    • Enable Audit Trail and Audit Workbench:

      • Navigate to Audit workbench ▸ Setup ▸ Audit policies and define rules for revenue journals or source documents.

      • This provides a full log of who created, modified, and approved each transaction.[4][5]

    • Use Voucher transactions inquiry with the Audit trail option to trace from source journal to final GL posting.[6]

    • For compliance, you can also enable Electronic signatures for critical steps.

    End-to-End Flow

     

    1. Revenue entries are created in the intake journal (staging).

    2. Workflow routes the journal for Finance approval.

    3. After approval, the journal is posted to the GL (either manually or via batch job).

    4. Audit policies and voucher inquiries provide full traceability from source to approval and posting.
