Downgrading User license from Full to Limited

Our company recently found that we need to adjust our licensing after a GP version upgrade.

We are exploring the idea of switching some users to Limited that are currently Full GP licenses. These users do not perform any transactions and just need reporting/inquiry capabilities.

My questions are:

  • If we switch those users to Limited, would we need to make any adjustments to their Security Tasks/Roles?
  • And are there any other caveats we should take into account?

    Hi,

    My first question is of financial impact: how many full users vs. limited users do you currently own ? Microsoft is not going to refund you any money on unused full licenses and you can't really resell them to somebody else. Basically you're going to write them off... All you're going to do is reduce the total value of your GP instance and thus slightly reduce the amount of your annual maintenance plan.

    Limited user licenses are cheaper, but do limit user interaction in GP by a lot. Yes, you may have to adjust some of the GP security, though by nature the type of license already limits a lot of areas in GP.

    Of course limited users are costing a 1/5th of the Full user license, but I doubt Microsoft will trade them in to that ratio 1 to 5.. It's more likely you'd have to re-purchase new licenses.

    Hi Beat,

    Thank you for your reply. Regarding our licensing, we went from 34 Full licenses on GP 2016 R2 to 29 Full & 5 Limited licenses on GP 18.3. A long time ago, we received a special licensing deal from Wennsoft (prev Key2Act) that allowed 5 of the licenses to be Full, at the price of Limited. Now that Microsoft removed that special after upgrading GP, we need to now make a few of our reporting users Limited so that we can free up some of those concurrent GP sessions.

    We’re thinking of copying some of these users’ full tasks as a backup prior to making them limited again. I just wasn’t sure if I needed to rework their permissions as Limited Users or if GP would do that automatically. This is kind of an odd situation, but hopefully this makes some sense.

    Another suggestion to your limited number of Full user licenses to GP, if you want  a better control over usage and limit the "idle" sessions in GP, I'd recommend to check on the side of Rockton Toolbox or GP PowerTools, as those 2 add-on provides a way to control the time user sessions run idle in GP.

    I've seen this in many companies where they had way more users vs. concurrent licenses, and users would fight in the morning to get into GP and grab a seat for the day, in fear they would not be able to get a license when they needed it during the day.

    This is a very bad approach as the company kept buying new licenses just to accomodate for the grow of the company, whereas a utility like Rockton or GPPT would have allowed them to better control and manage their licenses.

    A company I worked for had such a tool and they managed to have 120-130 GP users, with only 16 concurrent licenses.. Granted, there were only about 20-30 users that were considered as regular GP users, others would only go into GP once in a while. But during the 15+ years they had GP, they never had to buy more licenses and rarely hit the max of 16 licenses, just because the add-on would take care of idle / sleeping user sessions and log them off GP to free up precious licenses.
