Global search, data shown in preview is not what I want to see.

Hi all,

I'm stumped so I am hoping someone can help me with the following.

We're using Dynamics CRM online, so latest version obv.

When I use the global search box in the top middle of my screen, and search for an Account, before I hit enter, it already shows me a preview of the results.
As far as I know and can find in other articles etc, the information show are the first columns of the Quick search view.

But!

In the example below, the preview is showing me 2 Accounts that I was indeed searching for.
I was expecting to see the name of the Account and secondly the 'Relatietype' as these are the first 2 columns of the quick find view.

but, it is showing me 'bezoekadres: plaats' for 1 Account & 'CRM nummer' for the other Account. (the 4th and 3rd column of the quick find view)
the extra strange thing is, that both Accounts have all the information filled (name,  relatietype, CRM nummer, Bezoekadres: plaats)

The order of my quick find view:, as shown to me when I press enter in the global search bar.

Why is the second info in the preview not relatietype?
Why is the data shown in the preview different between these 2 Accounts? While Name, relatietype and CRM nummer are all available for both Accounts

Thanks in advance!

The behavior you're observing in Dynamics 365's Global Search preview not displaying the expected columns (e.g., Account Name and Relatietype) but instead showing other fields like "Bezoekadres: plaats" and "CRM nummer" can be confusing. This happens because the Global Search preview results are not always governed by the column order in the Quick Find View. Here's a detailed explanation and solution:

Understanding How Global Search Preview Works

    1. Global Search Preview Logic:

      • The columns displayed in the preview dropdown (before you press Enter) are not strictly controlled by the Quick Find View column order. Instead, the system uses:
        • A combination of key fields configured for the entity.
        • Fields deemed "relevant" by the platform's internal logic (such as primary field and indexed fields).
        • Fields that contain the searched keywords.
    2. Quick Find View:

      • The Quick Find View governs:
        • Searchable fields (fields that will be searched against your query).
        • The column layout shown when you press Enter and view full results.
    3. Preview Field Selection:

      • The system attempts to display fields that best match the query or are most relevant for identifying the record.
      • Even if the first two columns in the Quick Find View are Account Name and Relatietype, the system may still decide to display other fields (e.g., Bezoekadres: plaats and CRM nummer) in the preview if it determines they are relevant.

    Steps to Fix the Issue

To control what is shown in the Global Search preview dropdown, you can configure the following:

    1. Verify the Searchable Fields for the Entity

    • The searchable fields determine which fields Dynamics 365 will look into when you perform a search in Global Search.
    • To verify or update the searchable fields for the Account entity:
      1. Go to Advanced Settings > Customizations > Customize the System.
      2. Expand Entities > Account > Select View.
      3. Open the Quick Find View and click Add Find Columns.
      4. Ensure the fields you want to prioritize (e.g., Account Name and Relatietype) are selected.
      5. Save and Publish the changes.

Note: This ensures these fields are searched but does not guarantee they will appear in the preview dropdown.

    2. Configure the Quick Find View Columns

    • The Quick Find View columns determine the layout of the results when you press Enter and see the full list of results.
    • If these columns are incorrectly configured, update them:
      1. Go to Quick Find View as described above.
      2. Ensure Account Name is the first column and Relatietype is the second column in the Add View Columns section.
      3. Save and Publish changes.

This ensures these fields are displayed prominently in the full search results after pressing Enter.

    3. Modify the Entity’s Primary Field

    • The primary field (e.g., Account Name) is often given priority in the Global Search preview dropdown.
    • If Account Name is not displaying in the preview as expected, double-check that Account Name is still configured as the primary field for the Account entity:
      1. In Customizations, open the Account entity.
      2. Verify the Primary Field is set to Account Name.
      3. Save and Publish changes if necessary.

    4. Check Relevance Search Configuration

    • If you’re using Relevance Search (Dataverse Search) instead of traditional Quick Find, the search behavior is governed by Relevance Search rules.
    • To configure the fields shown in Relevance Search:
      1. Navigate to Advanced Settings > Dataverse Search Configuration.
      2. Add or remove fields for the Account entity to control what is displayed in search results.
      3. Save and Publish changes.

    5. Clear Browser Cache and Test

    • After making the above changes, clear your browser cache and test the search behavior again. Changes to search views and configurations can sometimes take a few minutes to propagate.
