How to manage security roles for Apps in Dynamics 365 v 9.1 Sign In

Posted on by 71

Hi Everyone

I created apps in Dynamics 365 V 9.1. The issues I am encountering are as follows

1) How to link the newly created apps in V9.1 to security roles  ?

2) I have created multiple apps for different departments, is there a way to restrict viewing of these apps only to those users who have required permissions ? In the Security roles under <<CUSTOMISATION >> Tab - There is an entity called  " MODEL DRIVEN APP" but it doesn't specify if the permission given will be applied to all the apps or depending on the rights assigned for that particular user?

3) Is there a way to block the default " CRM 365 CUSTOM " app ( Which provides access to main CRM)  appearing in the myapps home page ?

    Hello Sachin2013,

To manage security roles for each App, you must log in as Administrator of Dynamics 365 and select My App from Settings

Reference this Microsoft KB article to help you add the "My Apps" to the Settings area: support.microsoft.com/.../myappsareamissingfromdynamics365navigationsitemap

    Hi Andrew

Many Thanks for your help. Unfortunately the CRM I am working on is heavily customised version of CRM and the option of " My Apps " in " SETTINGS " isn't there.

I need to find an alternate way & will keep you posted.

    Regards

    Sachin

    Good Morning Johnny

Many Thanks for the details. But unfortunately in CRM V 9.1 the above options aren't there  or the other reason may be that I am working on a very heavily customised version of CRM & those options have been disabled.  The only way to Hide the " DYNAMICS 365 - Custom" is thru the Filter option again the problem here is the end user has access to it and any time can access the default CRM instead of apps.

I will keep you posted if I am able to find an alternate way.

    Regards

    Sachin

    Hello,

    Here are answers:

    1. Go CRM -> Settings -> My apps, there you will see all your apps. Click "..." button on the app you want to configure security roles for - click "Manage Roles" - in the popup select roles and click "Save".

    2. AFAIK you can't configure it in mentioned way.

    3. Go CRM -> Settings -> My apps, click "..." button on the "CRM 365 Custom" app and click "Hide for all roles" button.

    Good day Partner,

1)& 2) Users have access to apps based on the security roles they're assigned to. You could manage role to access different customized apps from Settings> MyApps like the following screenshot:

    Custom.PNG

You could create different security roles for different apps(mentioned departments) and give access to these roles to achieve your request.

    Related DOC:https://docs.microsoft.com/en-us/dynamics365/customer-engagement/customize/manage-access-apps-security-roles

3)You also could hide D365 Custom App(General App) from MyApps like the following Screenshot.

Hope the above suggestions could help.

    Regards

    Johnny
